City of Denham Springs – Notice Summary

Proposals will be submitted electronically only through LaMATS e-Auction & Bid Services (EASiBUY) at https://lamats.eauctionservices.com .   To submit a proposal you must register by starting a response to access the full specifications. Proposals are due by August 9, 2021 by 10:00 a.m. CST and will be reported publicly immediately thereafter at the City of Denham Springs.  Bidders will receive notice of results by email after close of bid.   

DESIRED VEHICLE:

  • The City of Denham Springs seeks to purchase one (1) new Chevrolet Tahoe PPV Conversion (or substantially similar brand/model), preferably in stock or to be delivered in a short time frame.  Proposals will be accepted from licensed converters only. 

ELECTRONIC BIDS AND INTERACTIVE RULES:

  • Bidders will upload the Bid Form Document completely filled out with the description of the make, model and  description of conversion components.  If a bidder offers more than one vehicle, then a Bid Form Document should be filled out for each vehicle.
  • Bidders will provide one binding "off of the lot" price all inclusive of conversion components, but excluding sales tax.
  • Bidders should upload photos or brochure illustrating the appearance of the vehicle.    
  •  The City reserves the right to seek "best and final" pricing after providing notice, conditions and scheduling of same.  Best and final offers, if required, will be accepted online only in an interactive, reverse auction format to be set on or after August 16, 2021.    

ELECTRONIC PROCESSING AND ADMINISTRATIVE FEE

  • Any vendor whose proposal results in an award and purchase is responsible for payment of a 3% administrative fee ($30 per $1000 in sales) not to exceed $1,200 for any sale made under this solicitation.  The electronic fee, if applicable, is payable to EASiBUY, LLC 265 W. Main Street, Suite 203, Kent Ohio, 44240 upon payment by the City.  Bidders must take into consideration the administrative fee when submitting their pricing.

ADDENDA AND INTERPRETATIONS

  • No interpretation of the meaning of the specifications or contract documents will be made orally to any Bidder. Every request for such interpretation should be in writing and emailed to be answered by contacting the Purchasing Agent located at 116 North Range Avenue, Denham Springs, LA 70726 or by emailing purchasing@cityofdenhamsprings.com  To be given consideration, such requests must be received sufficiently prior to the date fixed for the opening of Bids to permit distribution of response to all Bidders.
