City of Westlake – Electronic Bid 

Bid Responses and bids will be by electronic means only through LaMATS e-Auction Services (EASiBUY) at https://lamats.eauctionservices.com.  To submit electronic bids in response to this solicitation and to access the full specifications, terms and conditions, you must register by starting a response at https://lamats.eauctionservices.com.  Response packages, which will include your specified brand/ model of equipment and pricing, are due on Wednesday, May 12 at 3:00 pm CDT. May 10, 2021 by 11:00 A.M. CST.  Thereafter, unless extended or waived, the City will conduct best and final price offers on any or all products commencing Friday May 14, 2021 May 12, 2021 at 10:30 a.m.  Results will be made available thereafter by the City of Westlake. 

Desired Product:

  • The City of Westlake is seeking bid responses for the purchase, delivery and installation of new kitchen equipment (including Bar equipment) for its new National Golf Course Clubhouse Kitchen.  The City desires to issue a purchase order to on vendor/supplier who can deliver and install the kitchen equipment within a relatively short timeframe as the City's new clubhouse is expected to open for operations in mid-summer of 2021.  

Electronic Processing and Administrative Fee 

  • The vendor/supplier who is awarded the purchase order is responsible for payment of a 3% administrative fee ($30 per $1000 in sales) on any sale made through this solicitation payable to  EASiBUY, LLC 265 W. Main Street, Suite 203, Kent Ohio, 44240.  Bidders must take into consideration the payment of the administrative fee when calculating and submitting their pricing.  

Addenda and Interpretations

  • No interpretation of the meaning of the specifications or contract documents will be made orally to any Bidder. Every request for interpretation should be by email to the Westlake City Clerk at cityclerk@cityofwestlake.com .   To be given consideration, such requests must be received sufficiently prior to the date fixed for the receipt of bids to permit distribution of responses to all Bidders.
  • All technical questions regarding registration, submittal of bids and use of the electronic bid platform shall be directed to Paul Holmes, LaMATS Electronic Administrator, paul@lamats.net. 
  • Requests to view the proposed kitchen space in advance of bid submission must be submitted to Gerry Pockat, gpockat@ncgla.com, 337-660-1559.

Reservation of Rights by City of Westlake

  • The City reserves the right to cancel this solicitation at any time up to the time a purchase order may issue.
  • The City reserves the right to qualify offered products before or after submission of best and final offers.
  • The City reserves the right to extend any deadline set herein upon notice to all registered vendors.  Bid Packages may be withdrawn, changed and resubmitted at any time by a bidder up until the submission deadline at which time submissions are locked.  
  • The City reserves the right to divide the award by vendor, availability of equipment, or Clubhouse section (i.e., kitchen equipment and bar equipment).
